Job Summary
The Sr. Administrative Associate is responsible for performing a wide variety of administrative services that are diverse and at times sensitive or confidential in nature. This position reports to and directly supports a Senior Director, therefore duties require a broad knowledge of corporate functions and key personnel/external stakeholders. Incumbent must be able to work independently on assignments using judgment and initiative to research sensitive/confidential issues as they relate to the Senior Director and the organization.
Job Responsibilities
Maintain and update calendars, databases, personnel records, payroll records, process expense sheets.
Manage and coordinate Nuclear Power Plant Access for department employees and support staff.
Initiate Information Technology (IT) requests to support departmental needs.
Compile, organize and type correspondence, forms and reports.
Review SAP/CATS time entry reports for unapproved time and accurate cost assignments.
Coordination of contact list, phone list, and organizational charts.
Coordinate and organize virtual and in-person meetings.
Perform administrative coordination of various meeting bodies including writing meeting minutes.
Assist Engineering Services Leadership (Senior Directors and Managers) on individual projects or special assignments.
Identify and resolve issues independently utilizing identified processes while maintaining established production levels.
Participation in outages and/or Emergency Plan.
Job Specific Qualifications
REQUIRED SKILLS :
High School diploma or equivalent.
Five years of administrative experience.
Exhibit a professional demeanor and demonstrate the ability to work well with individuals of all levels of the organization, as well as senior-level leaders in government and private organizations.
Excellent planning and organization skills.
Attention to detail, customer/client focused and flexibility/adaptability essential.
Must have good communication skills including addressing any requests and provide information as required.
Must be proficient in Microsoft Office Applications (Word, Excel, Access, PowerPoint, Teams, Sharepoint) and SAP.
Must meet and maintain Nuclear Power Plant Access.
DESIRED SKILLS :
Bachelor's or Associate’s Degree
Previous Engineering administrative experience.
Purchasing experience (i.e. Developing requisitions, processing purchase orders, managing invoices).
Familiarity with an Electronic Document and Records Management System for all aspects of Records. Reviewing and processing various documents and record types.
