Perform a wide variety of administrative duties for the Director and direct reports. Primary responsibilities include working with issues that are often sensitive and confidential in nature; compose correspondence; screen incoming correspondence/calls, assign action items as appropriate, and track work assignments to ensure timely completion; maintenance of personnel files, confidential correspondence; maintenance of calendars, itineraries, schedules and maintaining vacation schedules.

Specific Duties include:

  • Process departmental invoices, check requests, and other requests as they are received. Reconcile P-Card transactions as needed.
  • Write correspondence to internal and external clients regarding inquiries about PSEG properties.
  • Maintain database listing all current agreements and cancellations as well as coordinating with internal and external clients.
  • Manage General Office parking permits, daily parking, and special event parking
  • Report building problems that arise within our workspace and reserve corporate conference rooms via the online systems.
  • Open and process mail, sort, stamp in, log into tracking spreadsheet.
  • Create Amex travel ID’s.
  • Prepare ad hoc reports as needed.
  • Order and maintain office supplies as requested.
  • As needed, compile binders, make copies, send faxes, and assist with bulk mailing


Required Skills, Competencies, Education or Experience:

 

  • Associates Degree or Minimum of 5 years Administrative experience with 2 years of Director level support.
  • Proven proficiency in the use of SAP for payroll time entry and MS Office, specifically Word, Excel & Powerpoint. (test will be administered)
  • Ability to retain highly confidential information.
  • Able to work with minimal guidance using a high degree of judgment.
  • Must possess a high degree of initiative, professionalism and self-motivation.
  • Strong judgment and management skills.
  • Ability to communicate effectively with all levels of the organization and external customers.
  • Valid driver’s license.

 

Desired Skills, Competencies, Education or Experience:

 

  • Bachelor’s Degree
  • SAP experience related to materials management for service entries.
